Application Terms & Conditions

These Application Terms & Conditions (“Terms”) govern your use of the online admission and application services provided by Juwam International Training College (JITC) (“we”, “us”, “our”, “the College”) through our website, portals, and related systems. By starting, continuing, or submitting an online application, you confirm that you have read, understood, and agree to be bound by these Terms together with our Privacy Policy and any programme-specific requirements published by the College.

1. Introduction and acceptance

These Terms apply to all persons who access or use our online admission form (the “Application”), including applicants, parents, guardians, sponsors, and authorised representatives acting on an applicant’s behalf. If you do not agree to these Terms, you must not submit an Application.

Submitting an Application does not guarantee admission, enrolment, or a place on any programme. Admission remains subject to verification, availability of places, academic and regulatory requirements, and a formal offer or enrolment decision by the College.

Where an applicant is under the age of eighteen (18), a parent or legal guardian must provide information and consent as required on the Application, and that parent or guardian confirms they have authority to act for the applicant.

2. Definitions

  • Applicant means the person seeking admission who completes or is named in the Application.
  • Application means the online admission form and any supporting uploads, declarations, and payments submitted through our systems.
  • Reference number means the unique identifier issued upon successful submission of an Application.
  • Programme means any certificate, diploma, professional certification, skills-based, or other course or training offering listed for admission.
  • Supporting documents means photographs, identification, academic records, and other materials requested during the Application.

3. Eligibility

You may submit an Application only if you meet (or reasonably expect to meet by the intake date) the entry requirements published for the selected Programme, including:

  • minimum academic qualifications and subject prerequisites;
  • age or maturity requirements where applicable;
  • language, medical, or professional suitability criteria where lawfully required for the Programme;
  • regulatory or accreditation body requirements (for example CDACC, NITA, or other competent authorities where the Programme is accredited or registered).

We may decline to process or may reject an Application if eligibility criteria are not met or cannot be verified.

4. Application process

  1. Complete all mandatory sections of the online form accurately and in good faith.
  2. Select the correct programme category, department (where applicable), and course before submission.
  3. Upload clear, legible supporting documents in the formats and sizes specified.
  4. Review your entries, confirm acceptance of these Terms and our data use policy, then submit the Application.
  5. Retain your reference number and any confirmation communication for future correspondence.

You may be invited to attend an interview, provide additional documents, pay application or reservation fees (where applicable), or complete further steps before a final admission decision is made. Failure to respond within stated deadlines may result in withdrawal of the Application.

5. Accuracy and completeness of information

You warrant that all information supplied in the Application is true, complete, and not misleading. You agree to notify us promptly of any material change to the information provided (for example contact details, academic results, or guardian information).

We may verify information with schools, examination bodies, employers, referees, government agencies, and other lawful sources. You authorise such verification where permitted by law.

If we discover false, fraudulent, incomplete, or misleading information, we may reject or revoke an Application or admission, withhold certification, report the matter to relevant authorities, and pursue recovery of costs or other remedies available at law.

6. Documents, photographs, and verification

You are responsible for uploading correct documents belonging to the Applicant. By submitting documents you confirm that:

  • you have the right to provide them for admission purposes;
  • they are genuine and unaltered except as lawfully explained (for example certified copies);
  • they may be retained and processed in accordance with our Privacy Policy.

Photographs and identification documents must reasonably represent the Applicant. We may request originals or certified copies at enrolment. Blurred, expired, or unrelated files may delay or invalidate an Application.

7. Programme selection and placement

Programme availability, intake dates, fees, and delivery mode (for example full-time, part-time, or blended) are subject to change. Selection of a Programme on the Application expresses preference only and does not create a contract until formal admission or enrolment is confirmed in writing.

We may offer an alternative Programme or intake where the first choice is unavailable, subject to Applicant consent and eligibility. Class, section, or cohort placement is at the College’s reasonable discretion unless otherwise stated in an offer letter.

8. Fees, payments, and refunds

Where online admission fees, deposits, or other charges apply, you agree to pay the amount indicated at the time of payment using approved payment channels. Fees are quoted in Kenyan Shillings unless stated otherwise.

  • Payment of an application or reservation fee does not guarantee admission unless expressly stated.
  • Failed, reversed, or fraudulent transactions may result in cancellation of the Application.
  • Refund policies for application or tuition fees (where applicable) are governed by the College’s published fee regulations and any offer letter—not by these Terms alone.

9. Communications

By providing email addresses and telephone numbers, you consent to receive Application-related communications from us, including acknowledgements, requests for information, interview invitations, and admission outcomes. You must provide valid contact details and monitor them regularly.

We are not responsible for delivery failures caused by incorrect contact details, spam filters, network outages, or third-party messaging platforms.

10. Personal data

We process personal data submitted in the Application in accordance with the Kenya Data Protection Act, No. 24 of 2019 and our Privacy Policy. That includes collection, storage, verification, sharing with accreditation or examination partners where necessary, and retention for academic, regulatory, and archival purposes.

You must not submit personal data about third parties except where the form expressly requires it (for example parent or guardian details) and you have a lawful basis to do so.

11. Conduct and prohibited use

You must not misuse the Application system. Prohibited conduct includes, without limitation:

  • submitting multiple fraudulent, duplicate, or test Applications intended to disrupt operations;
  • using automated bots, scripts, or bulk submissions to spam or overload the service;
  • providing false contact details, disposable emails, or invalid phone numbers;
  • uploading malware, offensive material, or documents that infringe third-party rights;
  • attempting unauthorised access to our systems or other applicants’ data;
  • impersonating another person or misrepresenting your relationship to the Applicant.

We may block IP addresses, suspend access, and report serious abuse to law enforcement or regulators.

12. Admission decisions

All admission decisions are made by authorised College officials in line with internal policies and external regulatory requirements. Decisions are final subject to any formal appeal mechanism published by the College.

An Application status of “submitted” or “under review” does not imply acceptance. Offers may include conditions (for example payment of fees, medical clearance, or submission of original certificates) that must be satisfied by stated deadlines.

13. Withdrawal, cancellation, and amendments

You may request amendment or withdrawal of an Application before enrolment by contacting us with your reference number. We will accommodate reasonable requests where processing has not advanced to a point where regulatory or academic records must be retained.

We may cancel an Application that remains incomplete, unpaid (where payment is required), unresponsive to verification requests, or incompatible with eligibility requirements.

14. Limitation of liability

To the fullest extent permitted by Kenyan law, the College shall not be liable for indirect, incidental, or consequential loss arising from use of the online Application service, including loss of opportunity, loss of data caused by your equipment or network, or delays outside our reasonable control.

Nothing in these Terms excludes liability that cannot be excluded by law, including liability for fraud or wilful misconduct.

15. Changes to these Terms

We may update these Terms from time to time. The version published on this page applies to Applications submitted after the update date. Material changes may be highlighted on the admission form or website. Continued use of the Application after changes constitutes acceptance of the revised Terms.

16. Governing law and disputes

These Terms are governed by the laws of the Republic of Kenya. The courts of Kenya shall have exclusive jurisdiction over disputes arising from or relating to the Application, subject to any mandatory dispute-resolution policy published by the College.
